How to Share & Embed SOPs So People Can Find Them

Before You Begin

Make sure you have:

  • Admin access (if you want to make SOPs public)

  • SOPs published to the correct category (so they appear in the right place)

  • Optional: Single Sign-On (SSO) set up for seamless internal access


Step 1: Make SOPs Easy to Find Internally

  1. Check the Category

    • Your SOP must be in the right category so it shows up in the SOP library.

    • If not, just go back, edit, and re-publish it to the correct one.

  2. Search & Filter Tools

    • Category Filters: Works just like filtering process maps.

    • Description Search: Users can search by keywords like “Planner”.

    • Recently Updated: Filters SOPs updated in the last 90 days.

    • Tags: Use them to find SOPs related to specific tools or systems.

Step 2: Share SOPs Externally

Want to send an SOP to a contractor or embed it on a website? Here’s how:

  1. Go to the Library

  2. Click the little lock icon beside the SOP.

  3. Make it Public

    • This gives you:

      • A public URL (shareable link)

      • An embed code (perfect for websites or intranets)

You can still embed SOPs but require sign-in, which works beautifully with SSO.


Step 3: Embed SOPs in Your Processes (Yes, Really)

This is where Flowingly shines.

  1. Open your process map or workflow.

  2. Click on the relevant step (e.g. “Initiate Project”).

  3. Head to the Designer tab.

  4. Add the SOP section to the step form.

  5. Choose the SOP (e.g. Add a Task in Microsoft Planner).

  6. Tidy up the name and appearance if needed.

Users can:

  • Expand the SOP in full view

  • Step through the instructions right from the form
