How to create a new SOP, Process Map or SOP

Introduction

The Flowingly Creation Hub provides a centralised space to build Standard Operating Procedures (SOPs), Process Maps, and Automated Workflows using manual builders or AI-assisted generation tools.

Prerequisites

Only users with the ability to create processes will gain access to the Creation Hub. By default, this includes users with the following roles:

  • Flow Model Editors

  • Flow Model Administrators

  • Business Administrators

Instructions

Accessing the Creation Hub

Click the green + New button located in the top navigation bar.

Select your desired output type on the Creation Hub screen:

  • Standard Operating Procedure: Document step-by-step repeatable processes.

  • Process Map: Visualise how work flows across people, systems, and decisions.

  • Workflow Automation: Turn processes into automated, trackable workflows with forms and approvals.

Choose Your Creation Method

After selecting an output type, pick your preferred creation method:

Standard Operating Procedure (SOP)

Build manually:

  • Build from Scratch: Upload images and add step-by-step descriptions manually.

  • Capture in Browser: Automatically capture web tasks using the Flowingly browser recorder extension (Chrome or Edge).

Build with AI:

  • Record Your Screen with AI: Record live screen and audio using the desktop recorder while AI extracts key steps.

  • Capture in Browser with AI: Capture web tasks using the browser extension with AI-enhanced titles and descriptions.

  • Generate from Video: Upload an existing video for AI to extract steps into a structured SOP.

Process Map Options

Build Manually:

  • Build from Scratch: Design visually using the drag-and-drop builder.

Build with AI:

  • Generate from Text: Enter text or upload an .md/.txt file for AI conversion.

  • Generate from Image: Upload an image containing a visual flow for AI analysis.

  • Generate from CSV: Upload structured data via CSV to auto-generate steps.

  • Generate from Video: Upload a video file for AI processing.

  • Generate from Audio: Upload an audio file to extract steps, approvals, and form fields.

  • Record Your Screen with AI: Record your screen and voice to generate steps, decisions, and forms automatically.

Workflow Automation Options

Build Manually:

  • Build from Scratch: Design visually using the drag-and-drop builder.

Build with AI:

  • Generate from Text: Enter text or upload an .md/.txt file for AI conversion.

  • Generate from Image: Upload an image containing a visual flow for AI analysis.

  • Generate from CSV: Upload structured data via CSV to auto-generate steps.

  • Generate from Video: Upload a video file for AI processing.

  • Generate from Audio: Upload an audio file to extract steps, approvals, and form fields.

  • Record Your Screen with AI: Record your screen and voice to generate steps, decisions, and forms automatically.

Complete Required Details

Before launching the creation editor, complete the initial setup form. Required fields are marked with an asterisk (*).

  • Name: Enter a clear title for your asset.

  • Category: Select the appropriate organisational category from the dropdown menu.

  • Description: Add a concise summary outlining the purpose of the document or workflow.

  • Owner: Assign a primary user responsible for maintaining the asset.

  • Objective / Background: Define specific business goals or context where applicable.

  • Click the primary action button at the bottom right (e.g., Record, Capture with AI, or Create) to begin building.

Tips & Best Practices

When using AI generation options for Process Maps and Workflows both the uploaded document and any process details added will be used to generate the process. This will allow for a more accurate output to be generated. For example, generate a process map using an image and within the process details note the instructions for each step, these should then be married up in the generated process map. The same can be achieved with a workflow and the relevant form fields for each step.
