AI Workflow Creator

From the Library click the "Create New Flow Model" button and select "Workflow with AI". Once this is selected there are 2 possible options to use AI to generate a process map.

Create the Prompt

We recommend adding as much information into the Details tab as possible so that there is more context for the AI engine to work with. However, it can work off as little information as the name of the map.

Files can be included in the prompt to generate a process map. The other fields in the Details will be included in the prompt but, your current documentation can be used to ensure the generated map matches your current process. If any documents are uploaded, the additional information contained within the Details will help to provide the AI engine with more guidance to get closer to your desired output.

Supported file types:

  • CSV

  • Image (Supported: GIF, HEIC, JPG, JPEG, PNG, WEBP)

  • Text (Supported: MD, TXT)

Once all the information has been added, click "Generate with AI"


Output

Flowingly will take a few seconds to generate the map but once completed you will have a complete process, leaving minimal required edits to get this published.

Each step should contain a succinct set of instructions for you to review and add additional context, if required.

Workflow with AI - Best Practices

Whether you are using a file upload or simply just using process details as the prompt, we have a couple recommendations which will help generate a more accurate output.

Note the fields included in each step

The AI engine will do its best to create fields on the relevant steps provided, however it is possible to provide the exact fields required so that each form requires less editing once generated. For example:

Step 1: Submit Travel Request

  • Name

  • Department

  • Purpose of travel

  • Departure date

  • Return date

  • Estimated cost

  • Travel type - Domestic or International

Make decisions and diverged pathways clear

When the workflow has a key decision point or needs to be split into multiple concurrent pathways these should be noted in the process details or the uploaded file.

When a decision point is required, make sure to include which field from a previous step is going to influence the pathway take. For example:

If >$1000 go to Executive Approval, if <$1000 continue to Book Travel & Accommodation

When the path of a workflow needs to be split into multiple concurrent pathways this can be referenced in the uploaded file or process details. For example:

Diverge the pathway after step 1 (Submit a Travel Request) so that the Finance and Managers approval can be done concurrently

If you have used an image, the workflow generated should be able to decipher that a diverge is required but adding additional text in the background or other process details fields can help ensure this is done accurately.

Note: each step of the workflow will be assigned to the user creating the workflow so step assignees can be ignored while uploading. ​
