Using Step Reminders and Step Deadlines

Step Reminders and Step Deadlines are a useful way to notify assigned users of a workflow step, that there are tasks that require action. These notifications are sent by email.

You can set Step Reminders and Step Deadlines in your Flow Model within the Step Details form.


Step Reminders

By default, Step Reminders are not pre-set and there are two Step Reminder options.

  • Once: Set the day to send an email notification following the step creation.

  • Recurring: Can be set for hours or days up to 5 recurring times, sent following step creation.

Whether sent once or recurring, the Step Reminder is sent out at 10am New Zealand time on weekdays.


Step Deadlines

By default Step Deadlines are not pre-set and you can add a time limit for step completion by day or hour.

A Step's due date is the moment it was created + the Step Deadline value.

  • No email is sent out at the moment a Step becomes overdue.

  • A Step with a Step Deadline of 1 day created at 3pm today, will be due 3pm tomorrow (same as if the deadline was 24 hours)

  • Calculation of the due date does not take business days into account.

To prevent users being spammed, email notifications are sent twice a week at 9am Tuesday & Thursday New Zealand time.

The overdue email is sent which notifies the user of all their Steps which are currently overdue.

You can also view Overdue Steps in Flowingly by going to your menu:

  1. Click Flows

  2. Click Started by me OR All flows

  3. Click Overdue
