Tagging

Create groups of tags of your choosing and apply these to your various Flow Models and the specific steps that use them.

Overview

The Tagging feature lets you organize and categorize flow models using custom tags at the flow model or step level. This improves discoverability, reporting, and consistency across workflows and process maps.

Tag Structure

Tags are grouped into Tag Groups, each with a:

  • Name (unique)

  • Description

  • Color

Tag and group names must be unique across the organization.

Permissions

Only users with “Tags - Update” (default for Business Admins) can manage tags in Setup

Any user with edit access to a flow model can apply tags

Managing Tags

Setup → Tags Tab

Create tag groups: Add Tag Group → fill in name, description, and color

Add tags: Edit a tag group → type and press Enter

  • Tags must be unique

  • Tags/groups can’t be deleted if used in any draft/published flow model.

Applying Tags

At Flow Level

  • Open flow model → Details → Tags tab → Add/Remove tags

At Step Level

  • Open flow model → Select step → Tags tab → Add/Remove tags

Viewing & Filtering Tags

In Library both flow-level and step-level tags are visible for each flow model under “Actions- Tag Icon”.

Note: Step tags displayed are tags associated with the current saved draft

In Start, Maps, To Do, Flows, and Reports

  • Tags are shown in card view

  • Use “Find Tags” filter to search by flow-level tags.

  • In maps, tagged steps show a tag icon.

  • Click and navigate to Tags tab which shows list of tags applied.

Tag Reporting

A new “Tags” tab is available in the Reports page when the EnableTagging setting is turned ON. Permissions required to access the Tag Reports: Library Access & Reports Access

Key Capabilities

  • Report Scope Selection

    • Users can choose to download reports for Process Maps, Workflows, or All (when both are enabled).

    • If the business has only Process Maps or only Workflows enabled, the scope selection will not appear. In such cases, downloading the report includes all tagged flow models available in the business.

  • Report Types

    1. Flow Model Tags Report

      • Fields:

        • Tag Name

        • Tag Group Name

        • Flow Model Name

        • Flow Model Category Name

        • Flow Model Type

        • Flow Model Status (Draft/Published)

      • Includes both draft and published flow models.

      • Tags linked to components are also included.

    2. Step Tags Report

      • Fields:

        • Tag Name

        • Tag Group Name

        • Flow Model Name

        • Step Name

        • Flow Model Category Name

        • Flow Model Type

        • Flow Model Status (Draft/Published)

      • Includes both draft and published flow models.

      • For published flow models, if a saved draft exists, the current draft is considered for step tags.

      • Tags linked to components are also included.

  • Automatic CSV Download

    • Clicking on a report automatically downloads a CSV file.

    • File names clearly distinguish the report type:

      • Flow Model Tags Report

      • Flow Model Step Tags Report

  • Special Handling

    • For drafts without a defined Flow Model Type:

      • Reports include such flow models if tags are present.

      • Type is displayed as “Not Defined” in the CSV.

    • For businesses with both Process Maps and Workflows enabled:

      • Drafts without type defined are included when the “All” option is selected.
