Confidential Workflows

Summary

The Confidential Workflows feature gives departments control over the privacy of their Flows. This is done by only giving the Flow Model creator, and everyone involved in the Flow Model access to these Flows. This means that by default Business Administrators and Report Owners do not have access to Flow Models set as confidential. They will need to be manually added to gain access.

Note: Turning on the Confidential Workflow setting does not hide the data from Flows run on previous versions of the Flow Model before it was published as confidential.

Note: With the introduction of Confidential Workflows, a new Flowingly user role called Report Owners has also been introduced. This role simply expands the existing Report Administrator role. Previously Report Administrators could report on all data in Flowingly. Now Report Administrators can only report on data from Flow Models where they have been added as a Report Owner on that Flow Model. See article How to use the Report Owner Role, for more information.

What happens when I turn on the Confidential Workflow setting?

How to enable Confidential Workflows on a Flow Model

1. Go to Library tab

2. Either add a new Flow Model or Edit an existing Flow Model

3. Select Publish As

4. Select Workflow

5. Tick Confidential Workflow check box

6. Click Save Changes

Access to the report will now only be for:

  • You (the workflow creator)

  • Involved users

  • Report Administrators that have been set as Report Owners on the Confidential Flow Model

  • Business Administrators that have been set as Report Owners on the Confidential Flow Model

Note: Involved users include approvers and users tagged using the @mention functionality in the Flow.

Allowing access to Confidential Workflows for Business and Report Administrators

1. Go to the confidential Flow Model in the library

2. Click the padlock icon

3. Go to the Report Owner's tab

4. Add the Report Owner or Business Administrator you would like to give full report access to.

5. Click Save Changes

Business or Report Administrators which have been added as a Report Owner, will now be able to report on a Flows of the Flow Model set a confidential. This applies to the Flows tab and the Reports tab.

All users will now see what Flow Models are confidential when they are in their ‘Start’ or ‘To’ Do' menu.
