Custom Email Notifications extend the capability of the email notification engine significantly and opens up a plethora of opportunities to increase collaboration, faster sharing of information with a much wider audience, and in a much richer content format. 

With custom email notifications, you can:

•    Send emails to specific users or a whole team whether they are part of a flow or not.
•    Customise the subject and content of the email.
•    Use data collected in previous steps in the flow as part of the content of the email.
•    Send emails to specific people or persons who don't necessarily have access to  your Flowingly account.

Custom email notifications empowers you to share richer information more widely at a faster pace. For example - 

•    If you are part of the marketing team and you are about to send an email to the entire customer database on a recent pricing change, you can set up a Custom Email Notification to the internal support/frontline staff so that they are across what’s being communicated to the customers. You can customize the content of the email and include the link to the final email copy. The front line staff doesn’t need to be part of the flow or be included in the CC field when starting the flow.

•    Your apartment tenant has just submitted a flowingly public form on your website to get their aircon fixed. Once you have a confirmed a tradesperson to come and fix their aircon, you can set up a custom email notification that will send an email to the tenant informing them about the tradesperson's contact details, when they would be coming, etc. The tenant doesn’t need to be a registered flowingly user, but they would have to submit their email in the public form at the time of filing their request.

•    Using data captured previously, you can create and send an email such as a requisition, purchase order or even an invoice.

To create a Custom Email Notification, create a new Step in the modeler and change the Step Type to Custom Email, and complete the email details. You can specify the Subject, From Name and Reply To address. Note that it is not possible to add a user's reply to the email into the Flow.

To select the recipients the email is to be sent to, click on the Add Recipients button. The email can be sent to specific Users in Flowingly or to entire Teams by selecting them from the list on the left. You can also use data entered in a Form Field as a recipient. Select Step/Form Field to see a list of available Steps and Fields. Only Email Fields can be used, as these ensure that a valid address is entered.

The Design tab allows you to create the body text of the email. This is an HTML field which allows you to use formatting, insert images, tables and hyperlinks. A range of variables can be inserted into the email, allowing you to personalise the email or include relevant field data. 

Clicking on the Add Variable button provides a list of available Fields. Flow Attribute Fields are global, and include details on the Flow, the Initiator, Status, Due Date and other data. A section in the Variables list is available for each Step, which can be expanded to show the Step Fields available to be inserted into the email. Clicking on a variable will inset it into the email text in curly brackets { }. This text can be copied and pasted if desired, however do not modify the Variable name.
